How we handle your data

Who we are

ROOKS (rooks.team) is a web development studio led by Dmytro Hrachov, a private entrepreneur registered in Ukraine. He is responsible for the personal data you share through this website.

Questions about this policy or your data: hello@rooks.team.

<02>

What we collect

Only what you choose to send us through the contact form:

  • who you are (design studio, agency, business or designer);
  • your name and email address;
  • your company or studio, if you add it;
  • your budget range, if you choose one;
  • your project description and a link to a design or brief, if you add one;
  • the page of the site the form was sent from.

If you write to us by email or messenger, we receive what you write there. Like any website, our hosting provider automatically records technical data when a page is opened (IP address, browser type, time of the request) in short-lived server logs.

<03>

Why we use it

We use your details only to:

  • reply to your request and discuss your project;
  • prepare a scope, timeline and estimate;
  • carry out the work if we agree to work together.

We process this data because you asked us to (steps before a possible contract), to perform a contract with you, and in our legitimate interest in answering business inquiries. We do not use your details for newsletters or advertising, and we never sell them.

<04>

Who else sees it

We don’t share your data with advertisers or data brokers. To run the site, we rely on a few providers:

  • Telegram: messages from the contact form are delivered to a private channel that only the studio can access;
  • Vercel: hosts the website, keeps the technical server logs and counts visits for anonymous statistics (Vercel Web Analytics: pages viewed, where visitors came from, country and device type, with no cookies and without identifying you);
  • Calendly: only if you book a call through it, under Calendly’s own privacy policy.

These providers may process data outside Ukraine and the European Economic Area under their own security and data protection terms. If we ever need to share your data for another reason (for example, a lawful request from the authorities), we will do so only as the law requires.

<05>

How long we keep it

We keep your request for as long as we need it to talk about your project. If we don’t end up working together, we delete it within 24 months of our last contact. If we do work together, project correspondence and documents are kept for as long as the contract and accounting rules require.

You can ask us to delete your data earlier at any time.

<06>

Cookies

We don’t use analytics, advertising or tracking cookies, and we don’t embed third-party trackers. Visit statistics are collected by Vercel Web Analytics without cookies and only in aggregate (see “Who else sees it”). Our fonts are served from our own domain.

Your browser may store small technical data the site needs to work (for example, your language choice). This data doesn’t identify you, isn’t used for tracking, and you can clear it in your browser settings at any time.

If we ever add non-essential cookies, we will update this policy and ask for your consent first where the law requires it.

<07>

Your rights

You can ask us to:

  • tell you what data we hold about you and send you a copy;
  • correct inaccurate data;
  • delete your data;
  • restrict or object to how we use it;
  • transfer your data to you or another service in a common format.

Write to hello@rooks.team and we’ll reply within 30 days. If you think we handle your data wrongly, you can also complain to the Ukrainian Parliament Commissioner for Human Rights or, if you live in the EU, to your local data protection authority.

<08>

How we protect it

The site works only over a secure (HTTPS) connection. Form messages go to a private channel that only the studio team can access, and we only ask for the details we need to reply.

<09>

Children

This website is for businesses and professionals. It isn’t meant for children under 16, and we don’t knowingly collect their data.

Changes to this policy

If anything changes, we’ll update this page and the date at the top.
